Books that stay current, and a month-end that closes on schedule.

Bookkeeping, payables, receivables, reconciliations, payroll and a month-end that closes on schedule.

AI reads your invoices and receipts, matches bank lines to your records and flags anything unusual for review, so routine entry never queues up behind your week. A named team lead owns the ledgers and the close calendar, samples the AI's output every cycle and has a second person check anything that moves money or goes out to a customer or supplier. The work happens in your own accounting software, and you keep approval of what gets paid.

What's in scope

What an engagement covers

A typical scope for this service. Exact scope is agreed in writing before work starts.

  1. Bookkeeping and record-to-report: coding transactions from bank, card, payment-gateway and expense sources to your chart of accounts, and keeping the ledgers ready for reporting

  2. Accounts payable: capturing supplier invoices and receipts, matching them to orders or approvals, routing them to your approver and preparing payment runs for your sign-off

  3. Accounts receivable and collections: raising invoices, allocating receipts, keeping a current ageing and sending courteous reminders on overdue invoices, with disputes passed to you

  4. Bank and ledger reconciliations: bank and card accounts every period, plus balance-sheet account reconciliations on the schedule we agree

  5. Month-end and year-end close: accruals, prepayments, journals and a close checklist worked to cut-off dates agreed with you

  6. Payroll processing: preparing each pay run from your approved hours, leave and changes, with payslips and payment files ready for your approval

  7. Accounts clean-up and catch-up: working through backlogs, uncoded transactions and unreconciled periods until your books are current again

How the work divides

AI does the routine. People own the outcome.

Where AI tooling helps, it takes the repetitive volume; a named team handles everything that needs judgment.

AI does

Reads invoices and receipts, matches bank lines automatically

Our team does

Bookkeeping, payables and receivables, month-end close

You track

Days to close the books, deadlines met

AI-handled routine work is sampled and reviewed by our team. Anything sensitive, or with external consequences, goes to a person and is second-checked. How we use AI

What we measure

How the service is measured

Service levels are agreed per engagement. These are the measures we typically commit to.

  • Days taken to close the books, from period end to a finished close

  • Close deadlines met, as agreed for each period and for year-end

  • Reconciliations completed and reviewed by the agreed cut-off

  • Coding accuracy, checked on a regular sample of transactions

  • Pay runs prepared on time and overdue invoices followed up on the agreed schedule

How we set it up

Setting up finance & accounting

  1. Day 1

    Discovery call

A short call about your accounting software, chart of accounts, transaction volumes, pay calendar and close dates, and about what currently slips. You leave knowing what is realistic.

  2. Within days

    Tailored proposal

A written proposal covering the team, the hours, which work AI takes and which stays with people, how the close and payroll will be run, the measures we report and a clear monthly figure.

  3. Week 1

    Set-up in your tools

We take access to your accounting software, bank feeds, payroll and document inboxes under your policy, write up each recurring task with its cut-off date and agree the coding and matching rules the AI works within.

  4. Week 2

    Onboarding and parallel run

Our team and the AI rules run alongside your own people on real transactions, bank lines and a trial close, and your finance lead compares the results. We take over the work only after you sign off.

  5. From month 1

    Go-live and review

A named lead runs the close calendar and the pay runs. You get a weekly report on volumes, open queries and ageing, and a monthly review of close timing, accuracy and what to improve next.

Questions

Common questions about finance & accounting

AI reads invoices and receipts, picks out the supplier, date, amounts and lines, matches bank lines to your records and flags anomalies, such as a mismatch or an invoice that looks like a duplicate. It works only on routine, low-risk items, inside coding and matching rules agreed with you. The team samples its output every cycle, and anything unusual, unclear or large goes to a person. A second person checks anything that moves money or goes out to a customer or supplier, your approver releases payments, and anyone we contact can always reach a human.
